2024 Media / Photographer Information Package
FIRST TIME PHOTOGRAPHER / MEDIA TEAM MEMBER?
DEPOSIT DUE WITH APPLICATION
WHAT WE REQUIRE:
- If you are a first-time KJES photographer / media team member, a refundable $200 deposit is required (minus a $10 admin fee). See details below.
- Completed Media / Photographer Application Form (see below)
- Photographers: 50 of your best images showing a diverse view of the festival (i.e. musical acts, patrons, site landscape, specific shot list photos) within 7 days of the festival ending. See submission details below.
- Photographers: Hi-res (print) and lo-res (web) versions of 50 photos without watermark.
- Photographers: Non-exclusive, unlimited rights to these 50 images in perpetuity with the understanding that they will be used in both print and digital promotion and that they may be altered as we see fit.
- Photographers must submit a small selection (3-5) of daily photographs each day of the festival to be used by the Kaslo Jazz Etc Festival social media team.
- Videographers: All video collected on site is the property of the Kaslo Jazz Etc Society and must be delivered within 7 days of the festival ending. See submission details below.
- Videographers: Non-exclusive, unlimited rights of all video footage in perpetuity with the understanding that video will be used in digital promotions and edited as necessary at any time.
- Videographers: There shall never be audio recording from the audience or from the soundboard without prior written permission from the Kaslo Jazz Etc Society.
WHAT YOU RECEIVE:
- One Free Weekend Pass to the Kaslo Jazz Etc Summer Music Festival.
- Two volunteer meals a day for Friday, Saturday and Sunday of the festival.
- Non-exclusive rights to any images / video taken during the festival including those submitted to Kaslo Jazz Etc Society.
- One Camping Pass for our crew camping area – if required.
- Photographers may post any of their images on their website or social media feeds at any point during and after the festival. Please ensure you tag @kaslojazz with your posts.
- Photographers may sell images to print publications or digital outlets after the festival but Kaslo Jazz Etc Society must be notified BEFORE the sale takes place. If Kaslo Jazz Etc Society is offered payment for any photographs they will divert this money to the photographer.
- Credit will be given to the photographer when a photograph is used in Kaslo Jazz Etc Societies promotions or when a photograph is used by a third party media outlet.
TERMS AND CONDITIONS:
- The Media team are encouraged to tell the entire story of the festival as well as focusing on the musical acts. i.e. The patrons, the vendors, the town of Kaslo,, the workshops, the beautiful landscape, etc.
- Photographers are not allowed on stage or backstage at any time but are allowed everywhere else on the festival grounds, including access to “the pit” in front of the stage.
- There will be no flash photography of the musical acts.
- Media team is expected to be discreet when working around the stage. Wearing black is preferred. While your job is an important one, we don’t want Media to be distracting from any performances.
- As the festival is on public grounds photographers do not legally have to ask patrons if they consent to having their photos taken. However, we do encourage doing so in certain areas, specifically campgrounds and children’s areas. Photographs are not permitted in any medical area of the festival.
- Media MUST check-in with the Media Manager upon arrival to get an orientation of the Terms and Conditions, guidelines, shot list assignments, and any scheduling that may be relevant.
- Kaslo Jazz Etc Society provides access to power for photographers to charge batteries, relax and edit photos/video.
- There is a secure media lock-up on-site for the storage of gear and valuables. Kaslo Jazz Etc Society is not responsible for any theft or damage that may result from leaving equipment in this area.
SUBMISSION DETAILS:
Photography
- Low Resolution: “photographer’s name_KJEF2024_lowres_original file number” example: LouisBockner_KJF2024_lowres_450998
- High Resolution: “photographer’s name_KJF2024_highres_original file number” example: LouisBockner_KJF2024_highres_450998
- Low resolution files should be resized to 2028 pixels on the long edge at 300 dpi. If you have questions regarding this please ask the Media Manager.
- Place a short caption in the metadata stating what performance the photograph is from. Ask the Media Manager if you are unsure how to do this.
- Upload Hi-res and Lo-res versions to the Google drive supplied by Kaslo Jazz Etc Society
Videography
- Label all files: “videographer name_KJEF2024_DATE_original file number”
- Provide a download link (wetransfer, dropbox, google, etc) of all footage taken on site within 7 days of the end of the festival
CODE OF CONDUCT
All Media and Photographers must agree and adhere to the KJES Code Of Conduct before beginning their first shift. The KJES Code of Conduct will be available to read and sign during the Check-In / Orientation. The KJES Code Of Conduct highlights a Zero Tolerance policy for any harassment, prejudice, violence, drug or alcohol use / possession, inappropriate behavior or language, irresponsible actions, illegal camping, and breaches of confidentiality. Any violation of the Code Of Conduct may result in disciplinary measures including but not limited to forfeiture of a deposit, removal from the festival site/campgrounds, and refusal to attend future KJES events.
BE PREPARED
Dress Smart! Please bring sunscreen, water bottle, hat, food/snacks, rain gear and proper clothing for the weather and according to your position. This festival is in the mountains! Be prepared!
MEAL PROGRAM
You will receive two (2) vouchers per day redeemable at the Jazzlo Burger stand. This voucher is good for one burger – gluten free lettuce bun & veggie burgers available.
DEPOSIT
If you are a first-time KJES Photographer / Media team member – thanks for your interest! A refundable $200 deposit is required for your first year. Upon completion of the requirements above, your deposit will be refunded minus a $10 administrative fee. There are no refunds of deposits BEFORE the festival under any circumstances. Canceling your application or failing to complete your requirements will result in loss of your entire deposit and you will not be eligible to join the photography / media team for KJES in the future. NO EXCEPTIONS.

AGE
You must be 16 years of age or older to apply for the KJES Photographer / Media team.
SAFETY
The safety of all people & property at the KJES is the top priority. KJES crew and volunteers are responsible for their safety, the safety of their fellow team members and all attendees. Any injury or accident must be reported directly to a KJES Supervisor and First Aid immediately. There is Zero Tolerance for any intoxication while on shift.
DRUGS AND ALCOHOL
The use, possession, sale, transfer, purchase or being under the influence of illegal drugs is NOT tolerated. Applicants represent the festival and as such, are required to be sober, alert, and not use or be under the influence of drugs or alcohol before or during their shifts.
